How to Invoice Students as a Private Tutor

A practical guide on how to invoice students and parents as a private tutor — what to include, when to send invoices, how to chase late payments, and when to use software.

Why invoicing matters for tutors

Invoicing is not just about getting paid — it is your paper trail. A proper invoice proves what services you provided, when, and at what rate. This protects you if a student disputes a payment and is important for tax records.

What to put on a tutoring invoice

A basic tutoring invoice should include:

  • Your name and contact details.
  • Invoice number (sequential — e.g. INV-001, INV-002).
  • Invoice date and payment due date.
  • Student name and contact.
  • List of sessions: date, duration, subject, rate per session.
  • Subtotal and total amount due.
  • Payment method and your payment details.

When should you send invoices?

Three common approaches:

  • Monthly invoicing — send one invoice at the end of each calendar month covering all sessions that month. Works well for regular weekly students.
  • Per-session invoicing — send an invoice after each lesson. Works for irregular or one-off students.
  • Advance invoicing — send the invoice at the start of the month or lesson block. Some tutors prefer this to guarantee payment before teaching.

How to send invoices as a tutor

Options range from manual to automated:

  • PDF via email — create in Word or Google Docs, export as PDF. Free but manual.
  • Google Sheets template — track lessons and totals in a spreadsheet, export. Slightly faster.
  • Tutor management software — lessons are logged as you teach them; invoice generation takes seconds. Best for 5+ students.

What to do when students do not pay on time

Late payment is common and usually not malicious — parents forget. A simple process:

  • 1. Send a friendly reminder on the due date.
  • 2. Follow up 5 days later with the invoice attached again.
  • 3. After 14 days, pause new sessions until payment is received.
  • 4. For chronic late payers, switch to advance payment.

Do tutors need to charge tax on invoices?

This depends on your country and your registered status. In most countries, independent tutors below a VAT/GST threshold do not need to add tax to invoices. If your income from tutoring exceeds the local threshold, you may need to register and charge tax. Consult a local accountant if you are unsure.

Common questions

What invoice number should I start from?
Start from INV-001 and increment sequentially. Some tutors start from a higher number (e.g. INV-100) for a more professional appearance. What matters is that numbers are unique and sequential for your records.
Should I invoice the student or the parent?
Invoice whoever is responsible for payment — typically the parent for under-18 students, and the student directly for adults. Use the responsible person's name on the "To:" line of the invoice.
How long should I keep old invoices?
Keep invoices for at least 5–7 years, as tax authorities in most countries require this period of record-keeping. Digital copies (PDF) are sufficient.
