A free, printable tutoring invoice template you can fill in and send to students or parents. Includes all key fields โ lesson dates, rates, totals, and payment instructions.
What is it?
A tutoring invoice is a document you send to a student or parent that lists the lessons provided, the rate per lesson, and the total amount owed. It also includes your payment details so the student knows how to pay.
What to include
- Your name / business name
- Your full name or your tutoring business name.
- Your contact details
- Email, phone, or address as needed.
- Invoice number
- A sequential number (e.g. INV-001) for your records.
- Invoice date
- The date you are sending the invoice.
- Student name
- Full name of the student (or parent if billing the parent).
- Lesson dates and descriptions
- Each lesson date and what was covered (e.g. "Algebra review, 60 min").
- Rate per lesson / per hour
- Your standard rate.
- Subtotal and total
- Sum of all lesson charges.
- Payment due date
- When payment is expected.
- Payment instructions
- Bank transfer, PayPal, Mono, etc.

- Do I need to charge VAT on tutoring invoices?
- This depends on your country and whether you are VAT-registered. In most countries, independent tutors below a VAT threshold are not required to charge VAT. Check with a local accountant if unsure.
- How often should I send invoices to students?
- Most tutors invoice monthly or per lesson block. Monthly invoicing is easier to manage โ send at the end of each calendar month covering all lessons in that month.
- What if a student disputes a lesson on the invoice?
- Keep a lesson log (Student Portal does this automatically). If a student disputes a session, you can reference your lesson notes and scheduled times as evidence.
